What we collect, and why

When you use the contact form, we store your name, your email address, the subject and text of your message, the time you sent it, and whether we have handled it. We use this only to read and answer your message. You choose what to write; please don't send us sensitive information such as health details.

When you email us, we receive your email address, the message and anything you attach, and use it only to reply.

When you visit the site, our hosting provider processes technical data, such as your IP address and browser type, to deliver the pages and keep the site secure. We don't add analytics, advertising or tracking tools to this site.

Our legal basis is our legitimate interest in answering enquiries (Article 6(1)(f) GDPR), or, where you are asking about working together, steps taken at your request before an agreement (Article 6(1)(b)).

Who sees it

Only authorised people at FIOKA read messages sent through the form. We don't sell your data or share it with advertisers.

The messages are stored with our database and hosting providers (Lovable Cloud and Supabase), who process them on our behalf and only to run the site. Emails sent to us are handled by our email provider (Google). These providers may process data on servers outside Germany and the EU.

How long we keep it

We keep messages for 12 months after we receive them, then we delete them. If a message leads to an agreement or collaboration, we keep what we need for that work, for as long as the work and our legal duties require.

Cookies and your browser

We don't set any cookies ourselves, and we don't use advertising or tracking cookies. Our hosting provider's security service (Cloudflare) sets one short-lived technical cookie, called __cf_bm, for up to 30 minutes. It helps tell real visitors from automated bots and keeps the site safe. It isn't used to track you.

If you choose light or dark mode, your browser remembers your choice on your own device so the site looks the same next time. We never receive it.

Fonts are served from this site, so your browser doesn't contact Google to load them. The site links to other websites, such as the Dagbanli Dictionary. Their privacy practices are theirs, not ours.

Your rights

You can ask us at any time to show you the data we hold about you, correct it, delete it, limit how we use it, or give it to you in a common format. You can also object to our use of your data. Write to contact@fioka.org.

You can complain to a data protection authority: the one for the place where you live or work, or the Data Protection Commission of Ghana, where we are based.
